AI tools bought by the seat, such as ChatGPT Team, Cursor, Claude and Midjourney, are often paid on a company card rather than billed through accounts payable. For American Express cards, Roiva counts those charges from the statement file you download from American Express. There's nothing to authorize and no feed to set up: you import the file on the connection's page.

American Express offers no way for a vendor to read a company's card transactions directly, so Roiva doesn't sync them. You import each statement as it closes.

#### Connecting and importing

1. In Roiva, open **Integrations → Connections** and connect **American Express**. There's no key or sign-in.
2. At americanexpress.com, open Statements & Activity, choose the dates, then Download. Choose CSV, and tick "Include all additional transaction details". Without the details, the file has no transaction reference, and Roiva can't tell a charge it has already imported from a new one, so it refuses the file.
3. On the connection's page, choose the file under **Upload a Statement**, and optionally give the dates you downloaded. Then choose **Import Statement**.

The page says how many charges were imported and which dates the file covers. Costs are booked in the background, through the connection's vendor mappings or allocation rules, the same as bills from QuickBooks, Xero or NetSuite. See [Linking connections to initiatives](https://roiva.ai/docs/linking-connections-to-initiatives).

Importing a file that overlaps one you imported before is fine. A charge is found by its reference and updated, never counted twice.

#### What a statement covers

A statement counts only for the dates it covers: the dates you give when you import it, or its first charge to its last. For any date no imported statement covers, your books' copy of the card's charges still counts, so a month you haven't imported yet never goes missing. The connection's setup check lists the dates your statements cover, and warns when the latest one ends more than 45 days ago.

The connection's **Spend** tab shows a month's total only for a month your statements cover from its first day to its last. A month covered in part shows no total rather than a figure that reads as the whole month. If the statement you downloaded ran to the end of the month, give that date when you import it.

#### What Roiva keeps

Roiva keeps each charge's date, merchant, amount, category, reference and, where the file has it, the card's last digits. It drops the cardholder's name and address as it reads the file, and doesn't keep the file. Credits and refunds are negative, so they net out of the month. Payments to American Express aren't spend, so they aren't imported.

#### Counted once beside your books

The same charge can reach Roiva twice: from the statement, and from your books, as a card feed's purchase in QuickBooks, spend money in Xero or a credit card charge in NetSuite. Roiva counts it from the statement and leaves the books' copy out, by account: charges paid from the account in your books named for American Express ("Amex" or "American Express" in its name), or the one you choose as **Card account in your books** on the connection's **Edit** page. The rest of your books' card, check and cash spend still counts from your books.

Some companies book each statement as one bill from American Express instead. That bill is the statement's charges again, so on dates your imported statements cover, it's left out too.

#### Limits

- Roiva reads statements from US cards, in US dollars, with dates as MM/DD/YYYY. A file from a card billed in another currency is refused rather than read as dollars.
- The file has no tax figure, so charges are booked at their total. See [How costs reach an initiative](https://roiva.ai/docs/how-costs-reach-an-initiative).
- The file American Express downloads from Statements & Activity is the one Roiva reads. A report a Corporate program administrator builds in American Express @ Work can have other columns. Roiva refuses one missing the date, amount, merchant or reference, and says which.
