Gemini in Google Workspace
Roiva counts who uses Gemini in Google Workspace each month, from Google's Gemini audit log, keeping no names.
What it answers
How many people in your Workspace use Gemini each month, in the Gemini app and in Gmail, Docs and the other apps
What Roiva reads
Google's Gemini audit log, every night, and the 180 days Google keeps on the first sync: an entry for each thing someone did with Gemini. Roiva swaps each person for its own digest of their Google profile ID before anything is saved, and keeps no email.
Setup
A Google Workspace super admin, or an admin whose role has the Reports privilege, signs in and allows reading the audit log (admin.reports.audit.readonly)
What you can measure with Gemini in Google Workspace
Time given back on the tasks you timed
People who used Gemini in the month × the timed tasks each does with it × the minutes your own time study found it saves × your blended rate, as freed capacity. Roiva supplies no tasks or minutes, so nothing is booked until your study sets them.

Starts from the AI Assistant Rollout template
Against what the licenses cost
Gemini comes with your Workspace licenses. Their cost is the initiative's, from Google's bill in your connected books or a recurring cost, so cash ROI sets it against the freed time once that becomes cash. Google gives no API for a Gemini license count, so enter the eligible Gemini licenses from the Admin console's Gemini usage report by hand.
A worked month
A Gemini rollout's month
Capacity Freed by an AI Assistant, from the AI Assistant Rollout template, for September
| People who used Gemini in the month | 120 | Gemini in Google Workspace |
| Timed tasks per user a month | 20 | Your figure |
| Minutes per task without Gemini | 12 | Your time study |
| Minutes per task with Gemini | 8 | Your time study |
| Blended hourly rate, fully loaded | $50 | Your figure |
120 × 20 × (12 − 8) ÷ 60 × $50
$8,000 freed capacity for September, reported beside cash ROI, never in it
120 people used Gemini in September, in the Gemini app, Gmail or Docs, each counted once. Only tasks your time study timed count, however often people use Gemini for anything else.
Illustrative figures. Roiva keeps every input with the entry it calculates, and none of it counts until it's approved.
What gets synced
Roiva writes these metric observations on each sync. Reference the key in a value formula to use this data in your ROI calculations.

What Roiva keeps
Reads: Google's Gemini audit log: an entry for each thing someone did with Gemini, naming the person by email and Google profile ID, the app and the kind of action. Roiva replaces the person with its own digest of the profile ID before anything is saved.
Keeps: Records of Gemini users by month and Gemini audit log read by month, plus the totals worked out from them.
